Invoice Management

Approving your invoices has never been easier. Invoice Management centralizes and processes your paper and electronic invoices at a single location.

Many Board members today want to be included in the approval process for invoices, as they are often the final signors. With Invoice Management, board members will no longer wait for the board meeting for approval. You simply log on securely to the Invoice Management site, review your invoices awaiting your approval than authorize them for payment.

If you are a Board Member needing to register so you are able to log on and start reviewing invoices and approving them, Please contact your Community Association Manager first you set up and give you an account number you will need for registering. Board Members Register here, click register to log in, you will be asked for an account number, this is the unique account number your Community Association Manager will give you. Follow the remaining steps on the registration page.

Once completed, you will be able to sign in and start view any invoices that may be ready to be viewed and approved.  If you have any questions regarding this process, please contact your Community Association Manager.

Vendor Resources

All new Contractors, Suppliers, and Vendors are required to complete and return the forms listed below and attach the requested documentation before your firm can be considered an approved vendor and thus eligible for payment for goods and/or services performed. Looking for a contractor and you just don’t know who to call? ACCU has provided a list of  Vendors for anyone who may need a contractor. ACCU makes sure all Contractors, Suppliers, and Vendors fill out the required forms listed below before they can be considered a vendor.

PROPERTY MANAGER OF COMMUNITY ASSOCIATIONS

Property Managers of Community Associations are the primary contact with Boards of Directors, Homeowners, and private contractors serving the association. This active position includes inspecting the assigned communities on a weekly basis, initiating correspondence, assigning work orders and monitoring work, solicitation of bids, processing design review requests, preparation for and attending board meetings (usually in the evening), preparation and presentation of all financials, working hand-in-hand with an assigned assistant regional property manager.

ASSISTANT PROPERTY MANAGER OF COMMUNITY ASSOCIATIONS

Assistant Property Managers of Community Associations have contact with Boards of Directors, Homeowners, and private contractors serving the association. Assistants create and type all correspondence, handle homeowners calls, assign work orders, solicit bids, process design review requests, handle notices and violations, do financial data entry, all working hand-in-hand with 2-4 assigned Regional Property Managers. Competent computer skills and knowledge of the following programs would be helpful: Microsoft Word, Excel. Due to the high volume of correspondence it is necessary to have the ability to effectively communicate orally and in written forms.

ACCOUNTANT/BOOKKEEPER

Accountant/Bookkeepers provide full accounting services to a number of assigned associations. This includes accounts receivable, accounts payable, interaction with title companies, maintenance of checking/savings accounts, production of modified-accrual financial reports, follow up on delinquent accounts, and interaction with CPA’s during audits and reviews.

CLERICAL

There are number of different types of clerical positions. Some are clerical, involving: filing, routing, copying, and processing of mail/faxes in and out. Some are secretarial: receptionists, typing, processing of mailings, and other related functions. All of which require a competent and cheerful attitude towards the most important position here at ACCU, Inc.

ONSITE PROPERTY MANAGEMENT

Onsite Property Managers help to manage all the common elements pertaining to an association. This position is as diversified in duties as it is in location, placement from the suburbs to Downtown. Property Manager’s help to enforce rules and regulations, supervise maintenance activities, and also know and abide by all governing documents. This position has maintained office hours and also the requirement of accessibility, by cell phone, all days of the week.

MAINTENANCE

Maintenance positions can require many different types of skills, from simple issues (i.e. changing out door locks) to more experienced issues (i.e. HVAC). Some positions require highly skilled individuals and while others require mild maintenance skills. Just as diversified as maintenance skills are, so is the skill knowledge required by this position. Employment Openings

Licensed Colorado Community Association Manager

HOA Community Association Managers are responsible for managing a portfolio of covenant controlled properties. They must be familiar with the governing documents of each association and assist each association’s board of directors with carrying out its duties and enforcing the association’s governing documents. Community Association Managers are responsible for managing the common elements of each of the associations in their management portfolio which includes the upkeep, coordinating repairs, coordinating special projects, and responding to inquiries from association members.
THIS POSITION DOES GIVE THE BENEFIT OF WORKING FROM A HOME OFFICE.

EDUCATIONAL REQUIREMENTS:

 Prefer candidate to have some college and be willing to immediately complete the course work for the CMCA certification & CAM Licensing of the Community Association Institute.

EXPERIENCE: 

3 years of Community Association Management experience preferred.

SKILLS/KNOWLEDGE FOR POSITION:

Must have Computer Skills

Administration and Management
Familiarity with Colorado law governing community associations
Sales and Marketing
Negotiation
Construction basics and related costs
Clerical
Strong communication ability

TASKS TYPICAL FOR THIS POSITION:

Meetings with Board of Directors, owners/tenants/vendors
Inspect grounds, facilities, and equipment routinely to determine necessity of repairs or maintenance.
Investigate complaints, disturbances and violations and resolve problems following association rules and regulations.
Plan, schedule, and coordinate general maintenance, major repairs, and remodeling or construction projects properties.
Manage and oversee operations, maintenance, administration, and improvement of properties.
Maintain records of sales, rental or usage activity, special permits issued, maintenance and operating costs, or property availability, including attending any hearings regarding the same.
Attend Board meetings and be available to respond to questions by the Association Board or members.
